Be honest: is there a spreadsheet somewhere in your company called “Passwords”? You’re not alone. On August 13th, Megan Newnham, Security Consultant at Passwd, hosted our first webinar on how to move from spreadsheets to proper password management, without leaving Google Workspace. Here’s a quick recap, with the full recording at the end.
What’s wrong with a spreadsheet?
- One breach exposes everything. If someone gets into the file, they get every credential in it at once.
-
There’s no encryption. A password like
password123!sits there in plain text, ready to copy. Encrypted, it looks more like9i^Z3S5cupp=. - Everyone sees everything. People get access to far more than they need, and you have to change the passwords every time someone leaves.
“But we use Google Sheets” and “We won’t get hacked”
Moving the file into Google Sheets doesn’t fix the core problem. The passwords are still in plain text, and the more people who can open the sheet, the higher the risk of a breach, even an accidental one.
As for “we won’t get hacked,” Megan asked the audience a few hard questions. How do you know? How long would it take you to notice? And what would it really cost your company and your clients?
A password vault that lives in Google Workspace
Next, Megan introduced Passwd, the password vault built for teams that already work in Google Workspace. Every vault is encrypted with Google Key Management Service (KMS) and there hasn’t been a single data breach since it launched.
The live demo
The best part was seeing it in action. In a few minutes, Megan showed how to:
- Import an existing password spreadsheet into Passwd
- Assign passwords to specific people and Google groups
- Share individual records safely, without anyone copying a password
- Use “view as” to check exactly what a teammate can see
- Run a security report to spot weak or reused passwords
