Vaults
note
Tier: Professional, Enterprise
A vault is a named group of records. Use vaults to keep related records together, for example by team, project, or client, and to see at a glance who works with them.
Vaults are an organizational layer, not a separate permissions system. A record's own sharing settings are never changed by moving it into a vault.
- Team vault: the record stays in All records and in search for everyone who can access it. Vault members also get access to the records in the vault (Editors can edit them, Viewers can read them), in addition to the record's own sharing.
- Personal vault: only the vault owner can access the records in it, regardless of the record's sharing settings.
A record can be in one vault at most. Records outside any vault show as No vault.
There is no default vault. Your existing records stay in No vault until you move them.
Personal and Team vaults
Personal vault
- Every user has one. It is created automatically the first time you open your vaults.
- Only you can see and manage it. Other users can't see it, and neither can admins.
- You can rename it, but you can't delete it or add other people to it.
Team vault
- Created by an admin and shared with selected users and Google Workspace groups.
- Each member is either an Editor or a Viewer.
- Any Editor can edit the vault, change its members, and delete it.
Availability
