Vaults FAQ
Tier: Professional, Enterprise
What happens to the records when I delete a vault?
Nothing is deleted. The records stay in All records and keep their current sharing. They simply move to No vault.
How quickly does a removed member lose access?
Within a few seconds, whether they were a direct member or a member through a Google Workspace group.
What if I change someone from Editor to Viewer?
They can still see the vault and read its records, but they can no longer create, edit, move, or delete them.
Someone is in a vault directly and through a group. Which role applies?
The strongest one. A direct Editor role always wins, and an Editor role through a group is enough to be an Editor.
A record is in a vault and also shared another way. Who can open it?
Everyone who has access from either source. Access is the sum of the record's own sharing, the vault roles, and admin access.
Can admins see my Personal vault?
No. Only you can see your Personal vault and the records in it.
What happens to a Personal vault when its owner leaves?
If the user is deactivated or removed from your Google Workspace, their Personal vault is hidden together with its records. It is restored if the user comes back.
Can I put a record in two vaults?
No. A record is in one vault at most.
Do vaults change who a record is shared with?
No. Adding a record to a vault or removing it from one never changes its sharing.
